We are a fast-growing start-up based in Richmond Hill, Ontario, and we’re looking for a highly organized, proactive Executive Assistant to support the CEO and leadership team. If you’re detail-oriented, dependable, and energized by being a key support player in a growing company, we’d love to have you on the team.
Job Summary
The Executive Assistant (EA) plays a critical role in ensuring the CEO and leadership team are organized, informed, and supported in day-to-day operations. This in-office position requires someone with exceptional organizational skills, a positive attitude, and the ability to handle a wide variety of tasks. You’ll report to the CEO and work cross-functionally with the Operations, Marketing, and Customer Service teams. We’re a small but mighty team, so a hands-on, get-it-done mentality is essential.
This full-time, in-office role is based in Richmond Hill, Ontario, personal transportation or proximity to our Richmond Hill location is strongly preferred.
Responsibilities
1. Executive & Personal Operations Support
- Fully own the CEO’s calendar across business and personal commitments, ensuring priorities, energy, and outcomes are optimized.
- Prepare daily and weekly agendas so meetings are intentional and productive.
- Act as a gatekeeper: manage inbound communication, requests, and scheduling decisions with sound judgment.
- Own the CEO’s inbox, you will triage, draft responses, follow up, and ensure nothing critical slips.
- Coordinate all travel, logistics, reservations, and external appointments for the CEO and executive team.
- Proactively manage personal, health, and lifestyle routines that support peak performance.
- Draft, edit, and format internal and external communications, decks, and executive materials.
- Prepare weekly performance updates, reports, and leadership documents.
- Handle sensitive information with absolute discretion and professionalism.
2. Office & Front of House Operations
- Serve as the first point of contact for anyone entering the office, clients, partners, and candidates.
- Ensure the office runs smoothly day-to-day and reflects a high-standard, welcoming environment.
- Manage office organization, supplies, and general administrative needs.
- Take pride in the details from meeting rooms to shared spaces.
3. Project, Marketing & Operations Support
- Track timelines, deliverables, and follow-ups across active initiatives.
- Support customer service and fulfillment operations during busy periods.
- Create, document, and maintain SOPs to improve internal execution.
- Pull data and assemble operational and performance reports as needed.
- Respond to Google and Trustpilot reviews professionally and consistently.
- Flag trends, risks, or issues to Marketing and Customer Service early.
- Support light marketing initiatives, if needed, including landing pages, campaigns, and email newsletters.

- Strong proficiency in Google Workspace (Gmail, Calendar, Drive, Sheets).
